Privacy Policy

1. Our Commitment to Privacy and Legislative Compliance Am-Can Business & Tech Institute is committed to protecting the privacy, confidentiality, and security of all personal information collected from our students and their families. Our data management practices strictly adhere to the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and the Ontario Ministry of Education's Ontario Student Record (OSR) Guideline.

2. Collection of Personal Information We only collect personal information that is absolutely necessary for educational administration, instructional delivery, and Ministry of Education compliance. This information includes:

  • Biographical and Identity Data: Legal name, date of birth, and copies of government-issued identification required to verify identity.

  • Academic History: Previous report cards, transcripts, and Prior Learning Assessment and Recognition (PLAR) documentation.

  • Digital Engagement Data: Learning Management System (LMS) analytics, including login timestamps, module completion rates, assessment logs, and IP addresses.

  • Financial Information: Billing addresses and payment records required for tuition processing.

3. The Ontario Student Record (OSR) The Ontario Student Record (OSR) is the ongoing, confidential record of a student's educational progress through the Ontario school system.

  • Storage and Security: As an inspected private school, all physical OSR folders for enrolled students are stored securely in locked, fire-proof filing cabinets at our administrative campus in Vaughan, Ontario. Digital components are stored on secure, encrypted Canadian servers.

  • Right of Access: Under the Education Act, every student (and the parents or guardians of a student under the age of 18) has the right to examine the contents of their OSR. To request access, students must submit a written request to the Principal at our Vaughan administration office.

4. How We Use Personal Information Personal information is strictly used for the purpose for which it was collected. This includes:

  • Establishing and maintaining the OSR.

  • Improving student instruction and developing individualized learning plans.

  • Tracking active LMS engagement to legally verify that the Ministry's 110-hour instructional time requirement has been met for credit issuance.

  • Communicating with students and parents regarding academic progress, attendance, and administrative updates.

5. Disclosure to Third Parties Am-Can Business & Tech Institute will never sell, rent, or trade student personal information. Information will only be disclosed to third parties under the following conditions:

  • Ministry Inspections: Academic records, OSRs, and LMS engagement logs will be shared with designated inspectors from the Ontario Ministry of Education during our mandatory validation and academic inspections.

  • School Transfers: If a student transfers to another public or private school, the OSR will be officially transferred to the receiving institution upon receipt of a formal written request.

  • Legal Duty: Information may be disclosed without consent to law enforcement, child protection agencies, or public health officials if legally mandated by Canadian law.

6. Digital Security and Online Proctoring Because our courses are delivered 100% online at www.techstudy.ca, we utilize secure browser lockdown software and identity verification tools during major summative evaluations. Video or audio recordings captured during proctored exams are used solely to verify academic integrity. These files are highly restricted, viewed only by authorized academic staff, and purged routinely in accordance with our data retention schedules.

7. Data Retention and Disposal We retain student records in strict accordance with the Ministry of Education's retention guidelines.

  • The Ontario Student Transcript (OST): The OST, which officially records all credits earned, is maintained for 55 years after a student retires from the school.

  • OSR Components: Other physical components of the OSR (such as report cards and documentation files) are retained at our Vaughan campus for a period of 5 years after the student retires from the school, after which they are securely shredded and destroyed.
